Challenges
Sending a document to someone outside your team is still the messiest part of the week
Not because the tools are bad, but because none of them were built for an exchange. Email was built for messages, chat for conversation, and a shared drive for storage.
It is in four places at once
One version came by email, a newer one over WhatsApp, and the signed copy is in a shared drive folder somebody set up last year. Nobody is sure which is current, including you.
Nobody knows who has seen it
You cannot tell whether they opened it, whether it reached the right person, or who forwarded it onward. Once a file leaves as an attachment, you have no say in where it goes.
The other side will not adopt a tool
They do not work for you. They will not install an app, learn a portal or remember a password for the two documents a year they send you. So you end up back in their inbox.

You pay for your own team, not for the people you serve
Most tools in this space bill per user, and several bill per client. So the more people you exchange documents with, the more it costs to exchange documents with them. That is backwards.

What is docivault?
docivault is a private workspace for the documents that go back and forth between you and people outside your own team — clients, patients, applicants, suppliers, counterparties. You add each of them as a contact, and everything you exchange with that person lives in one place instead of across an inbox, a chat app and a shared drive.
Can I use docivault today, or is this a waiting list?
You can sign up and use it today — there is no waiting list. What works today is accounts, sign-in with passkeys and two-factor, workspaces, roles and access scoping, contacts and team members, categories and settings — and the documents feature itself: three spaces per contact, upload, in-browser preview of common formats, moving a document between spaces, comments, sharing by an expiring link, an activity feed and an admin analytics dashboard. Document requests are in progress. Billing, bulk import, connectors and AI are not built. The roadmap page lists every feature with its real status.
Do the people I exchange documents with have to pay, or be counted?
Neither. They are contacts, not seats, and there is no cap on how many you have on a paid plan. Adding the two hundredth person you exchange documents with costs the same as adding the second. You pay a flat monthly price for the workspace and for your own team’s seats.
How is this different from a shared folder in Google Drive?
A shared folder gives one set of permissions to one set of people, and everything in it is visible to whoever has the link or the invite. docivault gives each contact three separate spaces — one only you and your admins can see, one for your assigned team, and one the contact themselves can see — so a draft cannot become the thing they read by accident. There is also no public "anyone with the link" mode at all.
Where is my data stored?
In India today, not the EU. EU data residency is on the roadmap and we will not claim it before it is done — the subprocessors page lists every vendor and the region it runs in.
